Coordination and Administration Internship

 

Duties and Responsibilities

Under the general supervision of the Executive Director of FAS and the coordinator Officer together with the staff of the Regional Office for Africa in Dakar, Senegal and the Liaison Office in New York, USA, the Intern will be responsible for general coordination of activities and general administration at the International Secretariat.

Principal duties include, but are not limited to:

- Researching and analysing gender, peace and security issues (current events affecting women in Africa, issues in and affecting African conflicts, and the work of other non - Representing FAS at external events including the UN Conferences and parallel meetings with partner NGOs

- Organising conferences and meetings, including meetings of the Executive Board and the General Assembly, and ensuring that support is provided;

- Preparing detailed briefs, speaking notes, minutes, documents for conferences and meetings, discussions and decision papers, agendas, and other notes as required;

- Identifying relevant partner organisations and managing the processes of establishing and maintaining networks with organisations engaged in conflict-resolution, post-conflict reconstruction and gender issues;

- Assisting in developing and maintaining good working relations with United Nations agencies, the African Union, the Economic Commission for Africa, the African Women’s Committee on Peace and Development, international organisations, non-governmental organisations, civil society organisations and other partners;

- Coordinating production of written reports and summaries of the proceedings and outcomes of FAS’s activities;

- Providing support to and liaising with FAS offices, members, and partners in order to provide a timely follow-up;

- Maintaining contacts with officials and representatives of governments and partner NGOs and providing support in the definition of cooperation arrangements;

- Assisting the Executive Director and FAS staff with other tasks as required.

- Processing travel claims and other payments to secretariat staff, vendors and other claimants;

- Help in the administration of the logistics and contacts with service providers such as travel agents, hotels, translation and interpretation agencies, office suppliers etc.;

-Preparing correspondence, special reports, evaluations and justifications as required on general administrative or specialised tasks;

- Coordinating the administrative work of FAS International Secretariat and perform liaison duties with FAS Regional Office, Dakar and other FAS offices;

- Arranging appointments and visits, to organise the staff planning and to manage telephone calls with discretion;

- Preparing briefing materials and administrative notes for the staff for use on official missions, meetings, seminars and conferences;

- Making travel arrangements for the staff and other events’ participants;

- Providing logistical support to FAS activities in the field;

-Performing other duties as required in the general running of the office

- Helping the Administration Officer with all the Human Resource management: work permit; staff meeting; holidays; accommodation etc…

Qualifications

-Proven interest in Gender or development issues
-Fluent in French and English
-Good witting skills
-Good communication skills
-Wiling to learn and work in a multicultural environment

The internship period must be at least 6 months and can be extended by mutual consent.

Selected candidates are expected to make their personal arrangement for travel to Switzerland, board, lodging and other expenses while serving as interns, as the position is unpaid. FAS could be of assistance in helping to locate affordable accommodation.
